AI in Gmail: How the Latest Innovations Impact Your Business Communication and Productivity

Google Introduces AI-Powered Features to Gmail

About two years ago, Google significantly integrated artificial intelligence into its services by displaying AI-generated answers at the top of search results. This month, the company is expanding its AI technology to another widely used platform: Google Mail.

Google has commenced rolling out a suite of generative AI tools aimed at helping users effectively manage their overflowing inboxes and expedite email composition. While some of these features are free, others require a subscription.

Gmail users can now retrieve emails by simply asking questions, such as “What’s the name of the job recruiter I met last month?” Additionally, Google is testing a new inbox layout set for release later this year, which will automatically compile a to-do list based on tasks mentioned in emails. The company has also introduced tools designed to enhance writing, such as an automatic proofreading feature and a response generator.

Should these AI innovations gain widespread acceptance among Gmail users, this could mark the most significant transformation in email functionality in decades. The new approach may shift the habitual practice of constantly checking emails to a more streamlined, periodic review.

However, these advancements raise important privacy considerations. For the AI features to operate effectively, Google’s AI assistant, Gemini, requires access to the entire inbox. The company assures users that while Gemini analyzes emails, safeguards are in place to prevent employees from accessing personal content.

Here’s a summary of initial impressions of the new tools and key privacy-related questions.

AI-Powered Inbox

Managing an email inbox can often feel overwhelming. Users generally have the option to read, reply, delete, or ignore emails, with the latter being the least effortful yet often leading to an accumulation of unread messages.

This week, the AI Inbox provided much-needed relief from my cluttered inbox. I had recently corresponded with a local preschool regarding my daughter’s enrollment, as well as with her pediatrician about a questionnaire. Amid all this, my inbox was also filled with marketing messages and unsolicited emails. Upon accessing the AI Inbox, Google’s AI reminded me of my recent communications and created a to-do list: respond to the preschool and complete the pediatrician’s questionnaire, allowing me to ignore the other distractions.

Currently, Google is testing the AI Inbox with a select group of users, but once made available to the public, it is poised to benefit many, particularly busy parents and professionals.

Free Tools

Google is now offering several Gmail features for free that were previously reserved for subscribers:

  • Personalized Suggested Replies: Gemini analyzes incoming messages and generates tailored responses based on a user’s previous writing style.
  • AI Overview Summaries: Similar to summaries seen in Google search, Gmail will now display automatic summaries of email threads at the top of each conversation.
  • “Help Me Write” Feature: This allows users to compose emails by entering prompts, such as “Draft a letter to my power company asking why my bill is so high.”

As a professional writer, I found these tools of limited utility; however, they may prove beneficial for those who struggle with writing.

Paid Tools

Google has also introduced additional tools exclusively available to subscribers of its AI plans, which start at $20 a month:

  • AI Overview for Email Search: While past users could search emails by entering keywords, they can now type questions like “What is the name of the plumber who fixed my toilet last year?” This feature is particularly useful for those with cluttered inboxes, as it reduces irrelevant search results.
  • Proofreading Tool: Google’s AI can highlight sentences that require improvement and suggest concise revisions.

Privacy Concerns: Is Google Reading My Emails?

According to the company, although the Gemini AI system can scan emails for assistance, no one accesses your content, including the queries made to Gemini. Furthermore, Google has stated that Gmail data will not be used to train or enhance Gemini.

Blake Barnes, Google’s vice president of product overseeing Gmail, explained that each user’s experience is confined to their "private room." He emphasized that data processing occurs within this secure environment and is not utilized to train Gemini.

Should I Opt Out?

Most of the above features, with the exception of the AI Inbox, are enabled by default for Gmail users. Those uninterested in using them will need to opt out by accessing their account settings and unchecking the “Smart features” box.
